'a' is removed from the correct answer choice because it is 'sent word' which means word represents 'a message' whereas 'sent a word' means a single word. One single word!

The option B should not be used because they are speaking about the past event and the future event which is going to happen. Since it is collection of words option A is suitable.

I think its all about the article. If option B contained "had sent word" then option B would be the right one. As because it contains "had sent a word", it's the wrong option.

As @Viky said. Here word refers to collection of words. So we should not use 'a'.
If it is a single word. 'a' can be used. But it in this case word means collection of words. So 'sent word' is correct.
